Employees
Add team members and control what they can do. Employees sign in to the same app with their own accounts.
Why employee roles matter
Not everyone on your team needs full access. A cashier doesn't need to change cashback settings. A manager doesn't need to delete the organisation. Roles limit what each person can see and do, reducing the risk of mistakes or unauthorised changes.
How to navigate the employees screen
- List — each employee with name, role, status, and contact.
- Add employee — invite someone by name, role, and contact.
How to add an employee
- Open the Employees screen.
- Tap Add employee.
- Enter their name and contact (email or phone).
- Choose their role.
- Confirm — they receive an invitation to sign in.
When to add an employee
As soon as someone joins your team. Every person who needs access to the dashboard should have their own account — never share login credentials.
How roles work
| Role | Permissions |
|---|---|
| Owner | Full access, including organization settings, employees, and API keys. |
| Admin | Manage most settings (products, orders, cashback, branches). |
| Manager | Manage products and orders, no organization-level settings. |
| Staff | View and update orders, apply cashback by scanning a customer's QR. |
You can also manage roles and permissions centrally (see Roles) if you need finer-grained control over what each role can see and do.
When to use each role
- Owner — the business owner. Should be 1-2 people maximum.
- Admin — a trusted manager who handles day-to-day operations. Give this to someone who manages the catalog, orders, and cashback.
- Manager — a team lead who handles products and orders but shouldn't change cashback settings or organisation details.
- Staff — a cashier or floor employee. They need to process orders and scan customer QRs, but shouldn't modify products or settings.
When to change a role
When someone's responsibilities change. Promote a Manager to Admin when they take on more responsibility. Demote to Staff when someone moves to a front-line role. Changes take effect immediately.
How to remove an employee
From the employee list, select the employee and remove their access. They can no longer sign in to the dashboard.
When to remove an employee
Immediately when someone leaves your team. Don't wait — a former employee with active access is a security risk.
How permissions work for staff
Staff see notifications their role allows; a badge count on the bell shows unread items. A cashier only sees orders they need to process — they can't accidentally change cashback settings or delete products.
